Ultra World Party Hire Terms and Conditions
Ultra World Party Hire Terms and Conditions
Effective Date: These terms and conditions are effective as of November 3, 2024.
Booking and Payment
- Booking Fee: A 50% non-refundable booking fee is required to secure your party reservation.
- Final Payment: The remaining balance must be paid either before the event day or on the day of the party before it begins.
No-Show and Actual Number Policy
- Registration Period: We allow a one-hour registration period at the start of your three-hour session to confirm the final number of attendees.
- Charging Policy: Charges will be based on the actual number of attendees registered within the first hour.
- Refreshments & Party Packs: Provided based on the confirmed number of registered guests.
- Package Adjustment: For premium bookings (10+ people), if fewer than 10 guests attend, we will adjust to the basic package pricing.
Party Duration and Timing
- Party Slots: Slot A (10:00-13:00) and Slot B (14:30-17:30). Please keep to the allocated time; extra charges will apply if the party exceeds the booked slot.
Guest Numbers
- Reduced Guests: Charges will be based on the actual number of guests registered within the one-hour registration period.
- Additional Guests: Extra charges for additional guests must be settled before the party begins.
Parent Attendance
- Parent Attendance Fee:
- R110 per parent (includes access to Ultra World’s facilities during the party and grip socks up to large size).
- R140 per parent (includes access and jumbo-size socks, size 8+).
- Grip Socks Requirement: All guests, including parents, must wear grip socks to access Ultra World’s facilities.
- Space Allocation: Based on the confirmed number of attendees, including parents.
- Payment for Parent Attendance: We recommend that the party host collects the attendance fee from parents in advance.
Safety and Conduct
- Grip Socks Required: All guests, including parents, must wear grip socks at all times while using Ultra World’s facilities.
- Supervision: Ensure adequate adult supervision for children throughout the party.
- Health and Safety Compliance: All guests must adhere to Ultra World’s health and safety guidelines.
Food and Beverages
- Food Orders: Guests can order from our menu, which includes options like sandwiches, burgers, juice, and water. Please note that as we do not have a kitchen on-site, food preparation may take additional time.
- Outside Food: Guests are welcome to bring their own food; however, cooking is not permitted within the facility.
- Platters: Pre-booking is required for platters from our partner restaurants to ensure timely delivery.
Liability
- Damage: The party host is responsible for any damages caused to Ultra World property by their guests.
- Injury: Ultra World is not liable for any injuries sustained during the party. Guests participate at their own risk.
Amendments and Rescheduling
- Changes to Booking: Communicate any changes at least 48 hours in advance.
- Rescheduling: Contact us as soon as possible to discuss rescheduling options.
Decorations
- Décor Policy: The themed decorations are for presentation purposes only and cannot be taken home.
Additional Terms
- No Cooking or Gas Appliances: No cooking or gas appliances are allowed.
- No Smoking: Smoking is not permitted within the facility.
Cancellation Policy
- No Refunds: Cancellations do not qualify for refunds.
- Flexible Arrangements: In case of a cancellation, we can assist with rescheduling or other adjustments to suit your needs.
Agreement
By booking the party, you confirm that you have read and agree to the terms and conditions outlined above.
